For most sectors, retirement is governed by internal policy. For an IT services company it is often governed by someone else's: the client whose project the hardware was bought for, whose data it touched, and whose MSA has a clause about disposition that nobody re-read after signing.
That changes what the documentation has to do. It is not enough to show that a laptop was recycled responsibly; you may need to show that it was wiped or destroyed to a stated standard, that its serial was recorded against a client project, and that the disposal happened within a stated period after the project closed.
We ask about client obligations at the scoping stage precisely because they are so easy to discover late. If a contract requires something we cannot meet, you will know before collection, not after.
